Most scheduling tools were built to fill a calendar. Refze was built by officials who knew that filling the calendar is only half the problem — the other half is keeping the people who work it.
The problem we lived
If you've officiated youth or high school sports, you know the pattern. A new referee signs up full of enthusiasm, gets thrown into a heated game with no support, takes abuse from the sideline, and quietly never comes back. Leagues spend the next season re-recruiting from scratch — training new officials just to lose them the same way. Meanwhile assignors juggle spreadsheets, group texts, and last-minute scrambles when someone drops out an hour before kickoff.
We felt every side of that: working games short-handed, assigning crews at midnight, and watching the shortage get worse each year. The tools we tried treated officials like line items on a schedule. None of them asked the question that actually matters — how do you keep the referees you already have?
Why the referee shortage is really a retention problem
The numbers are stark, and they point in one direction:
Recruiting harder doesn't fix a leaky bucket. The leagues that stay staffed aren't the ones that recruit the most — they're the ones that lose the fewest. That insight is the whole reason Refze exists, and it's why retention isn't a feature we added later; it's the thing we started with.
What we built
Refze does the scheduling you'd expect — import a season in minutes, fill open slots fast, confirm crews with one tap, auto-escalate unanswered assignments before they become no-shows. But the part we care most about is the part nobody else builds:
- A retention radar that flags officials going quiet, coming off a rough game, or sitting idle too long — so someone checks in before they walk away.
- Real numbers for your board — no-show rate, time-to-fill, and first-season retention in one view, so the case for keeping officials is impossible to ignore.
- Referees always free. The people doing the hardest job never pay to use Refze, and one login works across every league that assigns them.
What we believe
Officials come first
Every decision starts with the person on the field. If a feature makes their life harder, it doesn't ship.
Retention over recruitment
Keeping a trained official is cheaper, faster, and better for the game than replacing one.
Honest about limits
We tell you what the software does and doesn't do. No inflated promises, no hidden per-official fees.
Built with the community
Our anonymous Q&A board exists so officials can help each other — because the best advice comes from people who've been there.
Who Refze is for
Independent assignors, small-to-mid-sized leagues and clubs, and school athletic programs — the organizations big enough to feel the shortage but too lean to build their own tools. If you're scheduling officials on a spreadsheet and losing them faster than you can train them, Refze was built for you.
